Integrating Aircall with QuickMail

What is Aircall Integration?

Aircall is a virtual phone system that integrates with QuickMail to enhance the functionality of call steps in a campaign.


Why integrate with Aircall?

Aircall enables QuickMail users to seamlessly manage call tasks during outreach. With the Aircall integration:

•Users can apply tags to leads and add notes during or after a call, which automatically sync with QuickMail.

•Lead information appears on the caller insights card when calling through Aircall in QuickMail. The card includes a link to the lead’s profile for easy access.


How to install Aircall integration?

Note: If you don't have an Aircall account yet, you can sign up for a free trial here.

Step 1. Login to your Aircall account → Head to 'Integrations & API' → Search and select 'QuickMail'

After that, install the integration

Step 2. Authorize Aircall to access QuickMail

Step 3. Select the phone numbers you'd like to use with QuickMail or Skip it

Note: You will be redirected to the Account Selector page if you have an agency or multiple QuickMail accounts. This is where you can select which QuickMail organization or account must have the Aircall integration.

Step 4. A confirmation saying that the integration has been installed will appear. 

Step 5. Go to QuickMail Settings → Integration → Check if Team Members in Aircall have been synced.

From this list, users can assign a number to each of the team members to start calling prospects with their perspective numbers.  This is how Aircall integration looks like in QuickMail.

Once Aircall is set up in QuickMail, your tags in QuickMail will automatically sync with Aircall and vice-versa.


How to use Aircall Integration?

• Once integrated, Aircall can be used to create call steps in campaigns.

• Call steps allow users to call prospects directly from QuickMail.

• For instructions on creating call steps, refer to the Call Steps article.

Note: The Aircall app must be installed on your computer for the integration to work.

Troubleshooting Common Aircall Integration Errors


If you encounter errors while using the Aircall integration, here’s what they mean and how to resolve them:

  1. “User is not associated to Number”

This happens when the Aircall user doesn’t have a phone number assigned in QuickMail or Aircall. To fix it, make sure the user has a number set up on both platforms. Once that’s done, the calls should go through smoothly.

In case the error persists try assigning the phone to the user only on Aircall

  1. “Invalid number to call”

If you see this error, it means the phone number for the lead is invalid. Double-check the number’s format, it should look something like this: +123456789

  1. “The user is currently unavailable”

This usually means the Aircall user isn’t available, likely due to being outside their working hours. Head over to Aircall and update the availability settings for that user to make them reachable.
